Our Privacy Commitment
We are committed to protecting the privacy, confidentiality and security of the personal information we hold by complying with the requirements of Personal Data (Privacy) Ordinance with respect to the management of personal information. We are equally committed to ensuring that all our employees and agents uphold these obligations.
We pledge to comply with the requirements of the Personal Data (Privacy) Ordinance. In doing so, we will ensure compliance by our staff with the strictest standards of security and confidentiality.
Gathering and Use of Personal Information
We collect personal data based on your relationship with the Stronger Safeguarding Together (SST2026) conference.
The kind of personal data collected should depend on the actual operational needs of the data user.
- Attendees: When you register via our ESF-hosted Google Forms, we collect your name, email address, and organisation details. This information is used for processing your registration, managing your schedule, and communicating important conference updates.
- Marketing: We maintain a separate marketing list using publicly listed email addresses and the email addresses of past attendees (shifted to this list approximately one year post-conference). This list is managed via our locally-hosted Sendy instance and is used exclusively to promote future SST events. You may opt out or unsubscribe from these communications at any time.
We will not provide your personal data to third parties for direct marketing or other unrelated purposes without your consent.
Website Tracking and Cookies
To facilitate a seamless experience on our website, we use the following technologies:
- Analytics (Matomo): We use a locally-hosted, privacy-focused instance of Matomo to track website usage. This system does not use cookies.
We use the visitor data for the purpose of maintaining and improving our websites such as to determine the optimal screen resolution, which pages have been most frequently visited etc. We use such data only for website enhancement and optimisation purposes. We do not use, and have no intention to use the visitor data to personally identify anyone.
- Members Area (StatiCrypt): Our post-conference Members Area is password-protected. When you enter the password, you have the option to “Remember me for 60 days.” If selected, we use a secure cookie stored locally on your device solely to remember your login status, preventing you from having to re-enter the password on every page. This cookie does not track your browsing behavior or collect any identifiable personal data.
Outsourcing and Third-Party Services
To deliver a high-quality conference experience, we engage specific service providers to handle or process personal data.
- Sched.com: We utilise Sched.com to manage workshop registrations and personalised itineraries. If you register for the conference, your name, email address, and organisation will be securely transferred to Sched.com to provision your attendee account.
Our core data platforms (Matomo for analytics and Sendy for email distribution) are locally hosted, ensuring your data remains within our direct control and is not shared with external marketing or analytics entities.
Retention of Personal Data
Personal data collected for attendee registration is retained for the duration necessary to facilitate the conference and subsequent post-conference communications. After approximately one year, attendee email addresses are transitioned to our marketing list to inform you of future editions of the conference. You maintain the right to unsubscribe from this list at any time, at which point your data will be securely removed.
